Can a property manager put tenant files into ChatGPT? A checklist for property management

The short answer: only what the rental needs, only to a provider under contract, only where the law lets it go, and with a person choosing the tenant: a fully automated decision gives applicants the right to be told and to ask for a person's review (art. 21). Tenant files are personal data, some of it sensitive, and the law asks you to collect only what the purpose needs and to keep it only as long as it does.

Is it allowed?

  • CHF 250'000

    The highest fine under the Data Protection Act for handing data to a provider without meeting the conditions for processors, or sending it abroad without the required protection or an exception. It targets the person responsible, when the breach is intentional (art. 61 FADP).

  • Decided by AI

    If a decision rests on AI alone and significantly affects an applicant, you must tell them; on request they can state their view and have a person review it. Deliberately not telling them can be fined up to CHF 250,000 (arts. 21 and 60 FADP).

  • Sensitive data

    A rent paid by social services is data about social assistance: sensitive personal data under the law (art. 5 FADP).

How the work is run

Where your documents are read
During a test: on a GPU server at Meow's office in Switzerland, with no cloud provider in between, then deleted with a written confirmation. In operation: in Infomaniak's Swiss cloud, on Meow's servers in Switzerland or at your premises.
A person decides
The AI drafts, sorts and flags. Anything that leaves the firm, or changes a register, waits for someone on your team.
Who runs it
Meow, a Swiss company and Infomaniak Partner. From the first call, you deal with the person who builds and runs your AI.

Questions firms ask first

Where are our documents during the test?

On a GPU server at Meow's office in Switzerland, under an NDA signed before anything is sent. They are deleted at the end, and you receive a written confirmation.

Who sees them?

Only Guillermo Pages, who runs the test. The models run on Meow's own hardware: no AI provider receives the documents.

We have an IT provider, or a group IT department.

A workshop or a test is a contained piece of work: no access to your systems, no software to install. Its report gives your IT what it needs to decide on the next step.

Which documents work?

PDFs, Word and Excel files, emails and scans. Scans are read page by page by a vision model; their quality shows in the scores.

What happens after the test?

If the scores are good enough for you, the workflow goes into operation, with the test's price credited if you order within three months. If they aren't, the report says why, and that is where it stops.

How is a file sweep priced?

CHF 7'500 to set it up on a sample of your files, then CHF 30 per file. 300 files come to about CHF 16'500, excluding VAT.
